Staff Positions

The Mathematics, Statistics, and Computer Science Department at UIC seeks candidates for the position of Business/Administrative Associate.

Description: The Business/Administrative Associate will be providing a high-level of financial and administrative support to the Department Head of the Mathematics, Statistics, and Computer Science unit.

Duties: Provides administrative support and financial operations management for the unit.

Develops, implements, and manages the annual budget and monitoring processes for the department, including state, ICR, self-supporting, start-up, cost share, non-grant contracts, and gift accounts.

Participates in long-range planning and financial goal-setting activities.

Provides professional expertise and identifies strategic and operational issues while developing policy options and procedural actions.

Directs the day-to-day operations to ensure professionalism and efficiency of the unit.

Supervises main office support personnel.

Maintains accurate records, administers or oversees financial actions in compliance with College.

Compiles financial reports for the Head and LAS as required.

Interfaces with LAS in financial matters.

Prepares budgets and plans reports required by the Head.

Conceives and administers special financial projects under the direction of the Head.

Initiates, researches, and analyzes financial issues.

Develops recommendations for the Head.

Functions as a trouble-shooter and works within a privileged relationship to the Head.

Prepares special reports and studies, many of which are confidential and deal with complex and/or controversial matters.

Exchanges statistical data with external bodies for the Head.

Ensures that college- or university-imposed deadlines on all financial matters are adhered to.

Reviews financial aspects of the office and keeps track of start-up and matching funds.

Manage and approve department expense processing.

Coordinates all submittal and communications regarding fiscal, space allocation, and facilities issues with the appropriate campus departments.

Reconcile department transaction records against University records (Banner).

Reviews payroll and resolves HR issues with the HR coordinator and the Graduate Studies office.

Manage day-to-day office operations.

Interview, hire, orient, lead, mentor and evaluate staff to meet departmental and organizational needs.

Monitor and field all facilities issues and complaints.

Plan and implement all renovations for the department in conjunction with the Department Head.

Oversee the procurement function for the Department including property control, cash receipts management, and purchasing including P-Card, T-card, TEM, and I- Buy transactions/purchases.

Train faculty and staff in University policies and procedures.

Ensure that faculty and staff are operating within stated budget.

Perform other related duties and participate in special projects as assigned.

Minimum Qualifications: 1) Bachelor's degree in business administration, management or a field related to the position. 2) Two years of professional level accounting, managerial and/or business experience, one year of which was at an administrative level.

Preferred Qualifications: 1) MBA, MPA, or Graduate Degree in Business Administration or Finance. 2) Three years managing others independently and autonomously. 3) Experience in Business and Financial Affairs. 4) Prefer prior experience with BANNER or similar systems. 5) At least 3 years of work experience in a University or Academic or non-profit setting.
